Description
Executive Assistant / Marketing and Client Services Assistant
  • Keeping up to date with ‘21st century’ marketing vehicles, such as online social media and incorporating the most up to date marketing tools into the business for continual development

  • Providing marketing and PR administration support to the Business Manager

  • Managing events and seminar campaigns and marketing material and communications as required by the Business Manager

  • Providing marketing support to management and teams

  • Attending events to support trainers and other key persons and promote the image of the business

  • The role holder will keep up to date with legislative and industry changes that affect the business and its clients.

  • Organising meetings, booking rooms and ensuring any prep work is completed

  • Screening phone calls and emails

  • Managing all incoming and outgoing business post

  • Diary management for the business as required

  • Creating presentations, reports and other documentation as required by the Business Manager or Director

  • Managing and recording client data onto appropriate business systems and files

  • Ensuring the business complies with current Fire Safety Law

  • Ensuring the business meets current Health and safety legislation

  • Supporting the Business Manager implementing and co-ordinating all projects within the business to improve administration and support functions

  • Delivering project requirements within agree timescales and budgets as set by the Business Manager

  • Supporting the on-boarding of new clients into the business

  • Maintaining existing client review communications

  • Helping to deliver client referral strategy

  • Working alongside the Client Services Manager to support and deal with queries from all clients and from within the Company to a high standard, ensuring client satisfaction is maintained

  • Assisting the investment department with the quarterly switching

Requirements

  • confidence, patience, politeness, tact and diplomacy, when dealing with difficult situations;

  • creative thinking, to be able to come up with new ideas to improve customer service standards;

  • an ability to work well under pressure;

  • organisational and planning skills to develop customer services policies;

  • good personal presentation, especially when working with customers face to face;

  • a commitment to improve your own customer service skills on an ongoing basis.

  • Have excellent IT skills

  • Able to prioritise and work to deadline

  • Have a willingness to take responsibility

  • Have a thorough approach to work and high attention to detail

  • Great record keeping skills
